Start with a shared equipment list
List the covered sites, cameras, recorders, storage and relevant network devices. Record known faults at the start of the agreement. This avoids an ambiguous arrangement in which the customer and provider have different views of what is included. Keep warranties and manufacturer support arrangements alongside the list.
Define preventive checks
Discuss the purpose and frequency of visits. A practical scope may include image review, physical checks where safely accessible, recorder warnings, sample playback and inspection of the agreed power and connectivity path. Ask what will be reported after a visit and how inaccessible equipment is handled.
Explain fault reporting and prioritisation
Agree one way to register an issue and identify the affected site. Describe how priority is assessed, how acknowledgement differs from resolution and when an on-site visit is considered. A ticket timestamp is evidence of registration, not proof of an engineer appointment. Use written service commitments rather than assumed expectations.
Make inclusions and exclusions explicit
Confirm whether the price includes replacement parts, labour, travel, consumables and work outside the normal window. Discuss damage, discontinued equipment, third-party internet faults and major changes to the installation. The terms comprehensive and non-comprehensive should not be used as substitutes for a readable scope.
Set access and change responsibilities
Identify who holds authorised administration access and approves changes. Share credentials only through an approved secure channel, never in a public complaint description. Ask how configuration changes and relevant documentation will be recorded. Changes involving life-safety interfaces need the appropriate specialists.
Close faults with a clear record
A useful closure record states the reported issue, work performed, checks completed and any remaining recommendation. Customer-visible updates should be separate from internal coordination notes. Keep the original ticket reference and review recurring faults when renewing the maintenance scope.
